AI Assistant
The AI assistant lets you look up and edit master data in plain language. Ask a question (“How many active drivers and vehicles do we have?”) or describe a change (“Give Van 12 the Refrigerated skill”). When you describe a change, the assistant prepares it for you to review. Nothing is saved until you apply it.
Who sees it: the assistant is available to organizations that have the AI assistant feature, and only to Admin users in those organizations.
How to open the assistant
The assistant is available on every page. Look for the AI assistant button with the subtitle How can I help?. By default it sits in the bottom-right corner.
- Click it to open the assistant panel.
- Drag it to move it. When you let go, it snaps to the nearest corner or edge (top or bottom, left, centre or right). Zendera remembers the position in this browser.
The assistant panel
The panel header has four buttons:

| Expand | Docks the panel beside the page. On narrower screens it covers the right edge of the page instead. |
| Collapse | Turns the docked panel back into a floating panel. |
| Minimize | Hides the panel and keeps the conversation. You can also press Escape while the panel is floating. |
| Close | Ends the conversation. If you’ve already asked something, you’re asked to confirm with Close or Keep open. |
While the panel is minimized, the button’s subtitle shows Conversation kept, or Changes ready to apply with a count when you have changes selected for applying.
The page stays usable while the panel is open.
How to ask a question or describe a change
- Type in the box at the bottom (Ask a question, or describe a change).
- Press Enter to send. Press Shift+Enter for a new line.
On a new conversation you can also click one of the example prompts, such as What can you change for me?. While the assistant works, it shows what it’s doing, for example “Looking up drivers”.
The assistant finds records by their name, label or internal number. It can’t search on what a field contains. For example, it can’t answer “which drivers have no phone number”. To change a record, name the record you mean.
What the assistant can and can’t change
The assistant works with these records:
- Drivers
- Vehicles
- Locations
- Customers
- Products
For these it can create new records, update fields and deactivate records. It can’t delete anything, and it doesn’t work with orders, settings or other records.
How to review and apply changes
When you describe a change, the assistant shows a Review N changes card in the conversation. The card notes that Nothing is saved until you apply.
- Read through the proposed changes. They’re grouped by record type, such as Drivers or Vehicles. New records are tagged Create and deactivations are tagged Deactivate.
- Use the checkboxes to choose what to apply. You can include or leave out a whole group, a single record or a single field.
- Click Apply N changes.
- If any of the selected changes deactivate records, confirm with Deactivate in the Confirm deactivation dialog.
The card then shows Changes applied, and each row is marked Applied.
If a change can’t be applied
- Stale means the record changed after the preview was made, for example because someone else edited it. Click Refresh preview to get an up-to-date change, then apply again.
- If a change fails, the row shows the reason and a Refresh preview button so you can retry.
Conversations and privacy
The panel caption reads Session only · Data stays in the EU. A conversation lives only in the open panel: closing the panel ends it, and it isn’t saved in your browser.
An Admin can choose to store conversations for the whole organization:
- Go to Settings → Organization → AI assistant.
- In the Conversations card, turn on Store conversations.
- Click Save changes.
Stored conversations keep what your team asks and the assistant’s replies, exactly as written. They can include customer or order details someone mentioned. Stored conversations are deleted after 90 days. Turning the setting off stops new conversations being stored.
