Settings — Pricing

Permission: Admin only.

Order pricing prices each order automatically from the price list assigned to its customer. You build it in the Pricing group in Settings, simple building blocks first:

1. Pricing options — turn order pricing on and pick a default currency.
2. Price groups — how price items are grouped.
3. Freight levels — size or weight bands an order falls into.
4. Zones — zone areas made of postcode zones.
5. Prices — price lists, each with its price items and price rules.
6. Customer prices — a customer’s own changes on top of a price list.

Pricing options

Settings → Pricing → Pricing options

• Enable order pricing — orders are priced automatically from the price list assigned to their customer. Turning this off hides prices from orders; your price lists, zones and freight levels are kept.
• Default currency — preselected when a new price list is created, and shown next to price fields.

Click Save changes to apply.

Price groups

Settings → Pricing → Price groups

Price groups sort price items into kinds. Three built-in groups — Freight, Surcharge and Upsell — come with the product and open read-only (the Type column says Built-in). Click New price group to add your own (Custom) group with a Name and Description.

Freight levels

Settings → Pricing → Freight levels

A freight level set defines the bands an order falls into, for example by total weight. Click New freight level and:

1. Enter a Name.
2. Under Fields, pick what the levels are measured by — for example total weight, total volume, packages count, or max package weight.
3. Under Levels, add the levels with Add Level.
4. Click Save.

You can leave fields and levels empty and add them later.

Zones

Settings → Pricing → Zones

A zone area is a set of postcode zones. Price lists use it for zone-to-zone prices. The list shows each zone area’s Name, Country and Number of zones.

How to create a zone area

1. Click New zone area.
2. Fill in the zone area name, the country, and the Depo Location.
3. Optionally, upload the zones straight away: drag an XLSX file onto the Zones card or click Upload XLSX file.
4. Click Save.

On a zone area’s page

• Import zones — upload zones from an XLSX file. The import panel offers an empty template and a template with example data.
• Export zones — download the zone area’s zones.
• Duplicate — copies the zone area with all its zones under a new name. Price lists are not copied.
• Delete — removes the zone area and all its zones. Price lists using it lose their zone prices.

The Zones table lists each zone’s Number, Name and Postcode ranges.

Prices (price lists)

Settings → Pricing → Prices

The price lists table shows Name, Description, Currency, Used by (how many customers the list prices, and how many of them have their own prices), Last updated and Updated by.

How to create a price list

1. Click New price list.
2. Fill in:
   • Name (required) and Description.
   • Currency — preselected with your default currency. Each price list has its own currency.
   • Zone area (required) — create one under Zones first if you have none.
   • Freight level set (required) — create one under Freight levels first if you have none.
3. Click Save. The price list page opens.

The price list page

The Price list details card shows the list’s name, description, currency, zone area, freight level and dates, followed by Used by — every customer the list prices — so you can see who a change reaches.

Use Duplicate to copy the price list, and Delete to remove it. Deleting removes its price items and rules, and customers using it are left without prices.

Price items are the billable lines of the list. Click New price item and fill in:

• Price item — Name, Description and Price group.
• Price — how the item is priced:
  • Fixed price — a set Price.
  • Percentage — a Percentage of the items in a chosen price group on the order (Of the group).
  • Variable — a price that follows a quantity (Priced by), with Step and Price per step.
  • Plus Tax.
• Invoicing — Sales account and Price ID.
• Driver — Driver can see this item and the Driver commission: Not included, Fully included, Driver’s commission percentage or Per item.
• Discount — None, Percentage or Fixed amount, and whether the Discount affects driver commission.

Price rules decide which items apply to an order. Click New price rule and pick an Order type, a Freight level and one or more Price items. Each order type and freight level combination can only have one rule.

Upload zones prices uploads zone-to-zone price matrices for the list’s zone area. They appear as Zones prices items.

Customer prices

Settings → Pricing → Customer prices

Customer prices give one customer their own prices on top of a base price list. The list shows each customer, the list their prices are Based on, the Changes (added, changed and disabled items) and Last updated.

How to give a customer their own prices

1. Click New customer prices.
2. Pick the Customer and the Base price list.
3. Click Save. The customer prices page opens.

Editing a customer’s prices

The page lists the price items with the Base price next to the customer’s price. Click a row to change it:

• Enter either a Customer price or a Customer percentage — two ways to enter the same price; editing one updates the other.
• Tick Fixed price to keep the price when the base list changes. Percent changes follow the base list when it’s regulated; fixed prices don’t.
• Show discount on invoice prints the difference as a discount.

Other actions:

• Reset to base — the customer pays the base list price for that item again.
• Disable / Enable — stop or resume pricing an item for this customer.
• Add price item — add an item that exists only for this customer, and choose the Order types and Freight levels it applies to.
• Show changes only — hide items that match the base list.
• Duplicate and Delete — copy or remove the customer’s prices. Deleting means they pay the base list prices again.

Where pricing shows up elsewhere

• Customer form — when order pricing is on, the customer’s Price List card shows “Prices based on list · N changes” with an Open link to their customer prices. If they have none, it offers Add customer-specific prices.
• Orders — the Add Price Item picker on an order lists the items the customer is actually priced with: the base list plus their own changes.
